How can I extract information from a document automatically?

👋 Hello,

Here is the 2nd edition of the newsletter. On the program:
  • How to automatically extract a large amount of information from a document.
  • Practical advice on how to identify and successfully implement an automation project.
  • Automation trends 2022.
  • A surprising reflection on how de-motivation at work can lead to change.

📰 SmartMyData news

We wanted to talk about an untapped source of data: that found in your documents! We've considerably improved our extraction module, and are being contacted for a multitude of uses.

One emblematic case is that of Batisanté , for which we made a video.

What's not shown in the video is that after organizing the information in a database, we pushed this information onto a Datavisualization solution. This provided a whole range of useful indicators, including the fact that of the two main service providers, one was twice as efficient as the other. Of course, this was impossible to detect with data that remained compartmentalized within the document.

Automation : 5 tips for successful projects and accelerated transformation

For our March favorite, we're sharing an article from "Silicon" magazine written by Florence Bollaert. She explains that an AI/RPA project can generate many positive spin-offs over the long term, and gives her 5 tips for optimizing RPA projects to the maximum. An interesting article that will give you a clearer picture of how to prepare your RPA projects, from defining your objectives and KPIs to choosing your service provider.

Here's a quick summary of the 5 tips she suggests in her article. If you'd like to know more, we've left you the link to the article just below 😉

🗺️ Map eligible tasks

To use RPA, it's important to target the unpleasant tasks you're dealing with. For example, if your company is prone to an accumulation of Excel files, or if your employees often have to deal with repetitive tasks, RPA could be your solution.

📈 Define objectives and expected KPIs

Ask yourself the right questions. What are your reasons and motivations for using RPA? What do you expect from task automation?
Today, automation can save you a great deal of time, money and compliance. Beyond the quantitative gains, RPA will also bring you qualitative gains. Once you've set your objectives, determine your KPIs. These could be induced costs, gains in terms of time freed up, reduction in potential penalties, risk reduction, improvement in employees' day-to-day well-being, etc.

💰 Matching resources to ambitions

Here, everything depends on your business issues, your needs and your budget. Scenarios range from a single workstation PLC to a farm of hundreds.

🙌 Involving employees

An RPA project is first and foremost a human project that will affect a large number of people within the company. The employees concerned must therefore be heavily involved. There may be some reluctance: as the machine replaces part of the human element, employees may fear that part of their work will be taken away. Teams need to develop their skills to keep pace with the transformation, rather than being subjected to it.

🤝 Choosing the right partner

Last but not least, you'll need to choose your partner, who will help you select a solution tailored to your needs.

😊 Well-being at work

How can you love your demotivation at work? Gaël Chatelain Berry answers this unusual question in his "happy work" podcast. Gaël Chatelain Berry is an author ("Mon boss est nul mais je le soigne"), columnist for Psychologies and La Tribune, and lecturer. Through 4 points, he explains the benefits that "demotivation" can have on your work, such as the fact that demotivation leads to the discovery of real sources of motivation.

"Being unmotivated is perfectly normal, and if it's only once in a while... there's no need to be alarmed. If it's very regular, it may be time to ask yourself just one question: isn't it time to change jobs?"  Gaël Chatelain Berry

Data snake 🐍: Data that wiggles like a snake, doesn't really respond to queries, and spends most of its time sleeping in its basket.

The customer database on the old ERP system, with its incomplete, non-standardized data and its profusion of duplicates, is the perfect example of a data snake.

Curative remedy: a good cure via our normalization and cleaning modules will allow this data to tell you all its secrets.
